How-to guide Presentation order

How to Create a Presentation Schedule with Equal Time Slots

Here’s how to create a presentation schedule with equal time slots: set the session start, enter one shared slot length, and generate random presenters with equally spaced start times.

How to Create a Presentation Schedule with Equal Time Slots

Six presenters receive 12-minute slots beginning at 09:00. Each slot includes any planned transition or questions. Select Load example to populate the supplied list, or replace it with your own entries. Nothing is generated until you select Set speaking order.

Step-by-step instructions

  1. Enter each presenter once

List the people or groups that need a slot. Keep a presenting team on one line when it shares one slot.

  2. Choose order only or timed slots

Enable time slots if you need scheduled starts. Set the start time and one duration that includes speaking and transitions.

  3. Generate and publish the schedule

Select Set speaking order. Check the complete schedule and save it before sending it to presenters.

Worked example

Six presenters receive 12-minute slots beginning at 09:00. Each slot includes any planned transition or questions.

One valid result is shown below. Your generated outcome will vary.

Example input

Alex
Jamie
Morgan
Taylor
Sam
Jordan

Example result

1. 09:00 · Jordan
2. 09:12 · Alex
3. 09:24 · Sam
4. 09:36 · Morgan
5. 09:48 · Taylor
6. 10:00 · Jamie

Starts are 09:00, 09:12, 09:24, and so on. The final slot begins at 10:00 and ends at 10:12 if it uses the full 12 minutes.

Include transitions in the shared duration

The tool spaces starts by one fixed duration. It does not add separate breaks or stop the clock during questions. A six-person schedule with 12-minute slots occupies 72 minutes, even though the last start is only 60 minutes after the first. Add breaks manually to a saved copy if the session needs them.

Settings and limits to check

The example has 6 retained entries. The tool shuffles presenters once and can assign equally spaced starts. It supports one shared duration from 1 to 240 minutes per person, not custom durations or inserted breaks. Times use a 24-hour clock; a schedule crossing midnight marks the later day. Time-slot values must still be valid when using order-only output.

Settings used in this example
Start time: 09:00
Minutes per slot: 12
Include time slots: On
Remove duplicate entries: On

Keep a usable copy of the result

Use Copy to place the current result in your own notes, or Download to keep a text file. Keep the eligible input list with the result when you need to explain which entries took part. A new generation replaces the displayed result rather than adding to a saved history.

The tool runs in your browser and does not upload your input. Save the result before refreshing or leaving the page. If other people need to use the same outcome, share your saved copy rather than asking them to generate another independent result.

Frequently asked questions

Can I reserve a break after the third presentation?

Not automatically. Generate the order, then adjust a saved schedule and make the break explicit.

Can each presenter have a different duration?

No. One duration applies to every slot. Adjust a copied schedule manually if the session needs unequal slots or breaks.

Can I get an order without times?

Yes. Turn off Include presentation time slots and generate the speaking order.

What should I check in the worked example?

Starts are 09:00, 09:12, 09:24, and so on. The final slot begins at 10:00 and ends at 10:12 if it uses the full 12 minutes.
